Open Office Impress Presentations and Slideshow

You can create presentations quickly and simply with Impress. The format for information in a presentation is slides, which are a single screen in size and can combine text and graphics. The presentation can then be printed or shown on the monitor. From the menubar, select File New Presentation. Select Empty presentation from the AutoPilot Presentation dialog box, then click Next. On the following screens you are asked to make selections to customize your presentation. The third screen allows you to add effects such as fades. After making your selections, click Create. The first slide of your presentation now appears. Click the area where you want to feature text or insert a graphic. Begin typing (where there is existing text, simply click the text and begin typing over it), or select Graphics from the Insert menu and proceed by selecting the graphics filename of your choice.

Presentations Open Officeorg Impress

Anyone who has used PowerPoint will immediately feel at home with Impress, OpenOffice.org's presentation package (Applications Office OpenOffice.org Presentation), shown in Figure 11-3. Impress duplicates most of the common features found in PowerPoint, with a helping of OpenOffice.org-specific extras. You can open and edit existing PowerPoint (PPT) files and, as with all OpenOffice.org packages, save your presentation as a PDF file. Impress also lets you export your presentation as a Macromedia Flash file (SWF). This means that anyone with a browser and Macromedia's Flash plug-in can view the file, either online or via e-mail. Simply click File Export, and then choose Macromedia Flash from the File Format drop-down list. Along with slide presentations, Impress also lets you produce handouts to support your work.

Word Processing with Open Officeorg Writer

OpenOffice.org (www.openoffice.org ) is a suite of office applications including a word processor (Writer), a spreadsheet (Calc), a drawing program (Draw), software for creating presentations (Impress), and a database program called Base, which keeps tagging along after the rest of OpenOffice. This section focuses on the word processing application other chapters in this book discuss the OpenOffice.org spreadsheet, graphics, and presentation software. But first, a word from our sponsor.

Desktop Environments and Window Managers

Both GNOME and KDr should look familiar to Windows and Macintosh users they feature a desktop background with icons for files and folders, a bar with buttons and a clock at the top or bottom of the screen, and a central menu to access everything from applications to system settings. For example, the file Welcome_to_Ubuntu.odt is a document that you can double-click to view, as shown in Figure 2-10. You can safely open all the files in this folder and its subfolders by double-clicking them. These include documents, spreadsheets, images, music, presentations, and more.

Open Officeorg Star Office Suite

OpenOffice looks and acts very much like MS Office for Windows. This includes richness of features, large size (requires considerable amount of disk space, memory, and processor speed), and well-burried features (may require some careful mouse-clicking to access some items). OpenOffice may not be worth your trouble without at least 64 MB of physical memory the more memory the better. Open Office is very stable, although it sometimes displays weird artefacts ( ghosts ) on my screen. It has a good file-level compatibility with MS Office read and write MS Word, MS Excel and MS PowerPoint file formats. Natively, it uses a ground-breaking xml open file format the text and pictures are zipped together into one file. When I unzip the file (unzip my_file.sxv), I can extract the original pictures something MS Office cannot possibly do (with sometimes serious consequences for document management).

Cutting Copying and Pasting in vi

Jost of us are used to working with files in various application-specific formats, often identified by their file extension or a special icon on your graphical desktop. We're all familiar with the doc files produced by graphical word processors such as Microsoft Word, pdt files used by Adobe Acrobat and other PDF readers, xls tiles produced by spreadsheets such as Excel, tm tiles produced by FrameMaker, ppt tiles produced by PowerPoint, and so on. All ot these tiLes contain application data in a specific, often binary, format that lets the associated application make the best possible use ot these tiles, but which often makes them hard to use with any application other than the one that created them.

Adding graphics and special effects

To jazz up your presentation, you may want to add graphics, charts, and other special effects to the slides. With Impress, you can do nearly everything you can think of all you have to decide is how many bells and whistles your presentation needs. It's your call, but I recommend using these features judiciously lest they detract from your presentation's main message. You can do a lot more than just add graphics and charts to your slide presentations. You can insert spreadsheets and Writer documents into a slide, add text that runs along a curve, and add special effects to various elements in a slide. Table 3-2 summarizes some common graphics and special-effects tasks, including information on how to perform each task.

Using Free and Commercial Word Processors

Anyware Office The Anyware Office suite (formerly Applixware) contains all the basics for desktop publishing and a whole bunch of extras. Anyware Words provides word processing and publishing features. Anyware Graphics is a drawing, charting, and graphics-editing application. Anyware Spreadsheets provides custom spreadsheets, numerical analysis, goal seeking, charts, graphs, and projection tables. In addition, Anyware Office includes features for creating presentations, managing e-mail, authoring HTML, accessing databases, and building custom decision support applications.

Quickly create graphical text banners

Tip 219, on page 254, discusses using the figlet command-line tool to create ASCII banners of words but if you want to quickly create text banners as a image file, perhaps for use on websites or presentations, you can use GNOME's font preview tool. It isn't really designed for this but appropriation of existing commands is the beauty of Linux

Using word processors

If you've been using Microsoft Office applications such as Microsoft Word, Excel, and PowerPoint, most files produced in those applications' native formats will work in OpenOffice.org. You can find descriptions of supported office formats later in this chapter. Some have called OpenOffice.org the most significant threat to Microsoft's dominance of the desktop market. Thousands in business, education, and government have already migrated their documents, spreadsheets, and presentations from Microsoft Office to OpenOffice.org. Although cost savings are a big reason for using OpenOffice.org, the freedom of not being locked into proprietary formats and forced upgrades may be even more important in the long run. Impress A presentation application that includes a variety of slide effects. You can use Impress to create and save presentations in the Microsoft PowerPoint, StarDraw, and StarImpress formats. Creating and Using KSpread Spreadsheets

KSpread (www.koffice.org kspread ) is the spreadsheet component of the KDE KOffice office suite (www.koffice.org ). KSpread is installed by default on Kubuntu systems running KDE 3.5.x, but is not installed by default on Kubuntu systems running KDE 4.x (at least not at the time of this writing). KSpread provides a lighter-weight alternative to OpenOffice.org Calc as well as tight integration with the other components of the KOffice suite. This integration makes it easy to embed KSpread spreadsheets or charts in KWord documents, KPresenter presentations, and so on. KSpread has been actively under development since the late 1990s, and is a nice, full-featured spreadsheet package.

Installing the Microsoft True Type Core Fonts Package

If you don't mind paying for proprietary software, Hancom Office is extremely popular in Asian countries, and an English language version is also available. It offers a word processor, spreadsheet, presentations package, and more. A 30-day trial version and more details are available from http en.hancom.com .

Corel Word Perfect Office

Although it doesn't have near the market share of Microsoft Office, Corel WordPerfect Office is still the second most popular productivity suite on the market. It has all the same functions as Microsoft Office, including word processing (WordPerfect), a spreadsheet (Quatro Pro), presentation (Presentations), calendaring (CorelCENTRAL), and Web publishing (Trellix). The deluxe version also comes with a database (Paradox), more fonts, more clip art, the game Railroad Tycoon, and a bean-filled penguin toy ). Corel spent a lot of time making sure WP Office could read and write to Microsoft Office documents. Microsoft Word, Excel, and PowerPoint documents are imported into WP Office with little trouble. Later in the chapter, we will discuss importing and exporting MS Office files. WP Office also has the ability to export files in portable formats such as HTML, XML, PDF, and RTF. HTML is the standard format used by Web pages.

How to Establish Compatibility with Microsoft Office

Files created with OpenOffice.org can also be stored in standard Microsoft Office formats. For example, when you select Save as from the File menu, you can select the Microsoft Word 97 2000 XP file format, which is offered for OpenOffice.org Calc spreadsheets. Microsoft PowerPoint 97 2 0 00 XP is offered for OpenOffice.org Impress presentations.

Using Konqueror and Other Web Browsers

Konqueror is one of the most popular browsers for Linux. It features JavaScript and Java support, can run Netscape plug-ins (which allow you to add functions such as viewing Flash presentations), and is well integrated into the KDE desktop described in Section 11.2. Actually, when you install KDE, Konqueror will be installed as an integral part of the system. In the section on KDE, we have already described how to use Konqueror to read local information files. Now we are going to use it to browse the web.

Which Linux distribution should I use

Corel was once working on their own Linux distribution apparently geared towards a nice and easy platform to run the Corel suite of office applications WordPerfect wordprocessor, QuattroPro spreadsheet, Corel Presentations, Paradox database, CorelDraw artist package The Corel Linux was based on the Debian distribution. It looked initially very promissing, but it is unclear to me what Corel has done with it (was paid by Microsoft to drop it ). In brief, Corel Linux is dead now, and I would never recommend it to anybody because it it a dead-end. The only reason to mention it here is that Corel Linux once received lots of publicity, so you may still hear about it. It seems like a sad story, particularly for Canadians.

It allows you to separate your presentation code (html) from the logic (php) in your web applications. If you don't know why this is important to do, then develop a great big web site with a whole bunch of PHP applications, wait long enough to forget how you did everything, and then try to redesign the site. Or, just read Smarty's Why Use It page. They explain it better than I can.

OpenOffice.org is also great for creating presentations. The program to use is Impress, which you can open by selecting Applications Office OpenOffice.org Presentation. Or you can call up a presentation file such as Presenting_Ubuntu.odp from the example-content folder of your desktop (see Figure 12-11). Underneath these frames is the Drawing toolbar, which provides a range of shapes, lines, fonts, and many other tools with which you can fully customize your presentations to their best effect.

All the software I use on a daily basis is free, and almost all of it is open source. I use OpenOffice.org for word processing, spreadsheets, presentations and simple databases. I use Mozilla Firefox and Thunderbird for Web browsing and e-mail. Pidgin is my instant messenger. I use gcc for compiling my C C++ source and Eclipse for my Java development. Creating a Flowchart

As with the other introductions to the tools provided by OpenOffice.org, the Draw application has many more features for creating extremely rich graphics that can be used with presentations, documents, and web pages. Like all other products of the OpenOffice.org suite, the end result of Draw can be used in any other application from OpenOffice.org.

The Write Stuff

Microsoft Office comes with other programs such as Outlook and Publisher. They are not discussed here because the context of this book addresses only the key office tools Word, Excel, Access, and PowerPoint. Without a comparable office suite, GNU Linux would have a hard time drawing users to its operating system, and people wouldn't switch from Microsoft Windows to Ubuntu so readily. After all, if people can't use their computer to type a letter or to build a monthly budget spreadsheet, they have lost a great deal of its functionality, right So to provide Ubuntu users with a solid office suite, a software package called OpenOffice.org is installed automatically with the Ubuntu distribution. OpenOffice.org is a fully functional office suite that provides Writer, a word processor Calc, spreadsheet software Base, which allows users to create rich databases and Impress, for building presentations.

The time has come to consider moving that expensive, high-maintenance Windows system to a sleeker, more robust Linux system. The gap analyses have been done, the meetings held, the presentations complete, and now it's go time. Although installing and configuring a Linux server back end can be challenging, we all know that users aren't going to care about that. What they want is uninterrupted functionality so they can continue doing their jobs. Although migrating users from applications such as Microsoft Office to OpenOffice.org is generally an intuitive task, the 800-pound gorilla that's keeping you up at night is e-mail and groupware. How are you going to provide and manage Microsoft Outlook-like functionality to the masses In a word, Citadel.
